Slagelse Municipality is the result of a merging of four municipalities: Hashøj, Korsør, Skælskør and Slagelse in connection with 2007’s local government reform. Today the municipality covers roughly 600 km2 with just under 80,000 residents.

Since 2004, the former Slagelse Municipality had worked intensively towards making the town an even more attractive place to live and work, and in this connection had invested heavily in the project Slagelse Ny By (‘Slagelse New Town’), both municipally and privately.

In connection with the merging of municipalities in 2007, the former ‘clock-in, clock-out’ registration was got rid of and replaced with the manual management of flexitime and holidays, which was done partly in Excel. There was also a general expectation that the number of construction cases would increase considerably in connection with the merging of the municipalities.

With this background Rune Overlade from the municipality’s Drift & Anlægscentret began looking for a solution for time and project management, which could manage employee holidays and flexitime while at the same time could be used actively in relation to planning the department’s activities.

The EazyProject solution
EazyProject from EazySoft was subsequently implemented in the department as a tool for both time registration and project- and resource management. The solution is hosted by EazyProject, which ensures that Slagelse Municipality only has to focus on using the solution and need not worry about hosting or the daily running of the servers behind it.

Today Slagelse Municipality uses EazyProject to register hours, far more precisely than it did previously, for specific tasks that are executed by its ‘Drift & Anlægscentret’. This has resulted in a greater invoicing rate, especially for smaller tasks. The documentation of the executed work is generally better, and the workload of the individual employee or department is also much more visible.

Background
This visibility is the core of the resource management module that Slagelse Municipality recently started using. This module can give management a complete overview of the immediate, temporal workload of employees or departments, as well as the potential workload with the implementation of future projects.

This helps to make sure work tasks are distributed wisely and is ultimately crucial for ensuring that individual projects are delivered within the agreed timeframes. First and foremost, we chose a system that was user-friendly.

For Slagelse Municipality, the investment in EazyProject has already paid for itself. We knew that the municipal reform would bring more construction cases with it, and it has therefore been important to have a tool for registering the actual time spent on the individual cases.

This means that we ensure that the parties involved are invoiced for the work we carry out, and viewed in this light, EazyProject has paid for itself. Besides the financial rewards, we can also use EazyProject as a scheduling tool, thereby doing everything we can to avoid bottlenecks and overworked employees in our organisation.

EazyProject as a supplier
Software company EazyProject A/S is more than 15 years old and runs its daily operations from premises in Roskilde. Since its establishment, the company has developed a number of different software services, but is primarily focused today on its core product EazyProject.

A flexible solution
Slagelse Municipality chose EazyProject as its collaborative partner from a number of potential suppliers. First and foremost, we chose a system that was user-friendly. Furthermore, in its demonstration EazyProject placed great focus on the flexibility it offers, both through the solution and as a company.

We have an ongoing dialogue about our wishes for the solution – both acute and more long term, and being able to discuss things like this is important to us.
