Background
CapaSystems A/S is Scandinavia’s leading supplier of Systems Management solutions and currently employs a staff of 57 at its two Danish offices in Taastrup and Skanderborg.

CapaSystems supplies expertise and ground-breaking standard-software that can exploit the potential in IT systems. CapaSystems also supplies a long list of high quality consultancy services, and it is precisely in terms of these services that the software solution from EazyProject comes into the picture.

The opportunity to obtain a complete overview in just a few clicks of all consultancy activity for a specific customer makes the invoicing process considerably easier than previously.

CapaSystem’s challenge
In connection with delivering CapaSystems’ consultancy services, it was important that the invoicing procedure allowed the registering of consultants’ hours spent out with the customers. This used to be done in Excel and subsequently entered in C5, a process that demanded a great deal of manual work and corresponding risks of typing errors.

In order to reduce this huge administrative workload, CapaSystems wished for an easily accessible solution that could also be integrated with C5.

Fundamentally, it’s a question of saving time and reducing as much of the manual work as possible.

The EazyProject solution
The EazyProject solution was implemented in CapaSystems in summer 2007 as a tool for time registration. The solution is hosted by EazyProject, which ensures that CapaSystems only needs to focus on using the solution and need not worry about hosting and daily running of servers etc.

Today CapaSystems uses software from EazyProject to register hours and mileage for their consultants, who all enter their hours into the system themselves. The registered hours are then transferred from the solution directly to C5.

In connection with entering consultants’ mileage, EazyProject has tailored a report for CapaSystems that takes the 60-day rule into account when calculating travel expenses in one’s own car.

Integration

EazyProject as a supplier
Software company EazyProject is over 10 years old and operates from premises in Trekroner, Roskilde. Since its establishment, the company has developed a number of different software services, but is primarily focused today on its core product for project and time registration. CapaSystems chose EazyProject as its collaborative partner from a number of potential suppliers.
